PRIVACY POLICY

Staff Buddy Inc. ("Staff Buddy," "we," "us," or "our") operates the Staff Buddy staff platform (the "App"). This Privacy Policy explains what personal information we collect from staff members ("you"), how we use it, and your rights regarding that information. By using the App or creating a staff profile, you agree to the practices described in this Policy.

1. INFORMATION WE COLLECT

We collect the following categories of personal information when you create or maintain a staff profile and use the App:

1.1. Identity & Contact Information

  • Full legal name
  • Home address
  • Phone number
  • Email address
  • Date of birth (for compliance and payroll purposes)

1.2. Tax & Payment Information

  • Social Security Number (SSN) — collected for 1099 tax reporting purposes only

1.3. Professional Profile Information

  • Profile photo / headshot
  • Physical measurements and sizes (height, clothing, shoe size, etc.) — used for uniform matching and client look books
  • Languages spoken
  • Professional licenses and certifications (e.g., bartending license, food handler's permit, driver's license)
  • Social media profile URLs (e.g., Instagram, LinkedIn) — used for look book and brand ambassador matching
  • Work experience and event history within the App
  • Staff tier level and performance ratings

1.4. Availability & Scheduling Data

  • Availability windows you submit through the App
  • Job acceptances, declines, and no-show history

1.5. Location Data

  • GPS location — collected only during active event shifts for geo-fenced check-in and check-out verification
  • We do not track your location outside of active event shifts

1.6. Device & Usage Data

  • Device type and operating system
  • App usage logs (login times, features accessed)
  • Push notification preferences

2. HOW WE USE YOUR INFORMATION

We use the information we collect for the following purposes:

  • Staff matching — to assign you to events based on your profile, availability, tier, measurements, licenses, and client preferences
  • Payroll and tax reporting — to process your earnings and issue 1099 forms as required by law
  • Communication — to notify you of events, confirmations, schedule changes, and platform updates
  • Look books and client-facing materials — your photo and professional information may be included in staff look books presented to clients (social media links included with your consent)
  • Performance tracking — to record event history, ratings, and appreciation points
  • Compliance — to verify licenses and certifications required for certain events
  • Platform improvement — to understand how the App is used and improve features

3. HOW WE SHARE YOUR INFORMATION

Staff Buddy does not sell your personal information. We may share your information in the following limited circumstances:

  • With clients — limited professional profile information (photo, tier, relevant experience, measurements for uniform purposes) may be shared with event clients as part of staff look books or assignment confirmations. SSN, bank details, and personal contact information are never shared with clients.
  • With service providers — if Staff Buddy uses third-party tools for payroll, scheduling, or platform operations in the future, we will update this Policy and notify you before sharing your data with those providers.
  • For legal compliance — if required by law, court order, or government regulation, we may disclose information to the appropriate authorities.
  • Business transfers — in the event of a merger, acquisition, or sale of Staff Buddy, staff data may be transferred as part of that transaction. You will be notified in advance.

4. DATA RETENTION

We retain your information for as long as you maintain a staff profile with Staff Buddy. If your profile is deactivated or you request deletion:

  • Personal profile information will be deleted within 90 days of your request
  • Tax and payroll records (including SSN and earnings history) are retained for a minimum of 7 years as required by federal and New York State tax law
  • Event history and performance data may be retained in anonymized form for internal records

Staff Buddy does not sell your personal data to third parties for marketing or sales purposes.

5. DATA SECURITY

We take reasonable technical and organizational measures to protect your personal information against unauthorized access, loss, or disclosure. Sensitive information such as SSN and bank account details are stored using industry-standard encryption. However, no system is completely secure — if you believe your information has been compromised, contact us immediately.

6. YOUR RIGHTS

As a Staff Buddy staff member, you have the following rights regarding your personal information:

  • Access — you may request a copy of the personal information we hold about you
  • Correction — you may update or correct your information directly in the App or by contacting us
  • Deletion — you may request deletion of your profile and personal information, subject to legal retention requirements
  • Portability — you may request your data in a portable format

7. LOCATION DATA — ADDITIONAL NOTICE

The App uses GPS location services exclusively for event check-in and check-out verification (geo-fencing). Location access is only active during an event shift. We do not monitor, store, or share your location data outside of check-in/check-out events. You may disable location services on your device at any time, but this will prevent you from checking in or out of events through the App.

8. SOCIAL MEDIA INFORMATION

If you provide social media profile URLs (e.g., Instagram, LinkedIn), this information may be included in look books or profile materials shared with clients for brand ambassador or promotional staffing purposes. You may remove your social media links from your profile at any time through the App settings.

9. CHILDREN

The Staff Buddy App is intended for use by working adults who are 18 years of age or older. We do not knowingly collect personal information from individuals under the age of 18. If you believe a person under 18 has created an account, please contact us immediately so we can deactivate the account and delete any collected data.

10. CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. When we do, we will notify you through the App and update the "Last Updated" date at the top of this document. Continued use of the App after changes are posted constitutes your acceptance of the updated Policy.
